Every task type is managed from Workflow › Task Type: you pick one to open it, create new ones, and use the Task Type Manager to rename, reorder, duplicate or delete them.

Open a task type

Click the task type picker at the top left and pick a task type. Type in Search task types to find one by name. The list follows the order set in the Task Type Manager.

The task type opens in the builder, and its address in the browser changes so you can bookmark or share a link to it. When nothing is open, the page shows No task type open. A task type shared with you by another organization is marked Shared, read-only in the list. You can open and view it, but a banner says Read-only. Shared by … and you cannot change it. Contact the organization that shared it to request changes.
If you have unsaved changes and pick another task type, the app asks you to Discard changes first, so you never lose edits by accident.

Create a task type

There are three ways to create a task type:
  • New: an empty task type, described below.
  • From a template: a ready-made task type you can change. See Templates.
  • Build with AI: a task type generated from your description. See Build with AI.
If this is your first task type, start from a template or open one of the ready-made task types your organization already has (Pickup, Delivery, Field Sales, Field Canvassing, Home Cleaning and House Inspection). An empty task type needs a basic understanding of pages and components.
To create an empty task type, click New.

  1. Task type name: the name of the new task type.
Click Create. The task type opens in the builder with an empty Initial page. Add components to it, and click Add page to add the pages the field worker goes through. The arrow beside New opens More ways to create a task type:

Name rules
  • The name cannot be empty.
  • Use letters, numbers and spaces only. Special characters are not allowed.
  • The name must be unique in your organization. Upper and lower case count as the same name.
  • Handover, Activity and ActivityWorkflow are reserved words and cannot be used as a name.

Task Type Manager

Click the pencil button next to the task type picker to open the Task Type Manager.

  1. Search task types: filter the list by name. The count beside it shows how many task types match.
  2. Drag handle: drag a task type up or down to change its order. You can also focus the handle and use the arrow keys. This order is used in the task type picker and wherever a task type is picked, such as when creating a task.
  3. Task type name: who created it and who last updated it, and when. Task types that came with the account show System. Click the pencil that appears on the name to rename it.
  4. Duplicate: add a copy of the task type, named ”… copy”. The copy is created when you save.
  5. Delete: remove the task type. It is deleted when you save.
  6. Save: apply every change made in the dialog at once. Close the dialog without saving to discard them.
Rename and reorder need the Edit flow permission, and delete needs Delete flow. A task type shared with you by another organization cannot be renamed, reordered or deleted.
Renaming a task type asks you to confirm, because integrations, imports and API calls that use the old name may stop working. Delete with care too: tasks already created from a deleted task type keep their data, but they may no longer show properly on the web app or the field app.
Steps to delete a task type
  1. Click the pencil button to open the Task Type Manager.
  2. Click Delete on the task type you want to remove, then confirm.
  3. Click Save.
