The Calendar view shows your schedules on a month grid instead of a list. Each run appears on its day with its time, so you can see at a glance what already ran, whether it worked, and what runs next. Use it to spot busy days, gaps, and schedules that clash. The calendar works for both Task and Routing schedules. It is available on a computer screen; on a phone, schedules are always shown as a list.
Required permission:
  • View schedule (Task)
  • View Schedule (Routing Schedule)

Open the calendar

Open Planning › Schedule, pick the Task or Routing tab, and click Calendar beside List.
Task schedules on the calendar
  1. List / Calendar: switch between the table and the calendar. The view you pick is kept in the page address, so a bookmark or a shared link opens the same view.
  2. Today: jump back to the current month. Today’s date is marked with a blue circle.
  3. Previous month / Next month: move one month back or forward.
  4. Legend: what each colour means. See Run colours.
  5. A run: the time and the schedule name. Click it to open the schedule’s details.
  6. +N more: a day shows its first three runs. Click +N more to see every run of that day.
Filter and Search by name work in the calendar too: only matching schedules are drawn. The calendar shows the schedules of the hub selected at the top of the page.

Run colours

Before today, the calendar shows only each schedule’s last run, not its full history. To check older runs, use the list view or the routing schedule’s last execution.
Planned runs follow each schedule’s repeat cycle and stay inside its active period: nothing is drawn before the start date or after the end date. Times are shown in your own time zone.

See every run of a busy day

When a day has more than three runs, click +N more. A small window lists every run of that day in time order, with the date and the number of runs at the top.

Click any run in the list to open its schedule.

Open a schedule from the calendar

Click a run to open its schedule’s details: what it creates, how it repeats, the times of day, the active period, the assignees and the status of the last run.
Schedule details opened from the calendar
To change the schedule, close the window, switch to List and use Edit from the row’s actions. See Manage Task Schedules.

Routing schedules on the calendar

On the Routing tab the calendar works the same way. Each run shows when route optimization runs for that schedule.
Routing schedules on the calendar
A routing schedule whose last run was skipped, for example because there were no visits or its profile was deleted, shows that run in grey. See Managing Routing Schedules for what each outcome means.

Limits

  • The calendar loads up to 1,000 schedules. If you have more, a note appears above the calendar; use Filter or Search by name to narrow it down.
  • The calendar is not shown on phones. Use the list instead.
