A dashboard is always shared with at least one role: a new one is shared with your own role. Everyone with those roles can open it in Analytics › Dashboard. There is no private dashboard.
Required permission:
  • Edit dashboard
Anyone who can see the dashboard and has the Edit dashboard permission can share it.

Share a dashboard

  1. Open Analytics › Dashboard.
  2. Click ⋯ on the dashboard, then Share. You can also click Share at the top of an open dashboard.
  3. Open Roles and pick one or more roles. Use Search roles to find a role.
  4. Click Save. The app says Sharing updated.
A dashboard can be shared with up to 50 roles, and with at least one. Save is always available: if you remove every role and click it, nothing is saved and the dialog says Pick at least one role. A dashboard is always shared with a role.
Who can see a dashboard depends only on its roles, not on who created it. If you remove your own role and save, the dashboard disappears from your list, even if you created it. Keep your own role in the list unless you mean to hand the dashboard over.

What people with a shared dashboard can do

  • Open the dashboard and use its filters. Their filters don’t change yours.
  • Duplicate it to get a copy shared with their own role, when their role has the Add dashboard permission.
  • Edit, Share or Delete it when their role has the Edit dashboard or Delete dashboard permission. Who created the dashboard does not matter; it is only shown in the list.
Every action is shown to everyone; without the permission, clicking it says You don’t have permission. The dashboard list shows who created each dashboard and, under Shared to, the roles it reaches. A shared dashboard also needs View dashboard on the role.

Delete a shared dashboard

When someone deletes a shared dashboard, it is removed for everyone it was shared with.
